Most dialog screens you encounter in XETEX Xebra will include drop down menus across the top. Many will also display a tool bar with icons for quick access to frequently used functions. While different dialog screens have different menu items and selections, there is a pattern that will help you navigate through Xebra. Details of the options under each menu item will be discussed in later sections.
• | File – offers access to the internal messaging system and exiting Xebra on many dialog screens. If the dialog screen requires printing or saving options, they will appear under File as well. |
o | Dashboard - The Dashboard is an interactive tool that includes internal messages, priority actions, and department-specific information to streamline your daily activities within Xebra. This feature will be discussed in further detail later in this chapter in the section 2.7 Dashboard. |
o | Exit Xebra/Close – Having the same function as the X found in the upper right corner of any Xebra dialog, this will immediately close the screen that you are in. If you are in the main screen of a module and click on the X, a pop-up will appear asking "Log off of the Xebra?" with "Yes" and "No" buttons to select. NOTE: You will never be allowed to close a part of the Xebra if doing so will jeopardize sensitive data. |
• | View - The View menu is where to go to find information on a specific customer, vendor, job, prospect, etc. For example, under the View menu in Order Entry you can locate items such as Customer Shipping or Billing records, Control Files, and Inventory data. |
• | Commands – Move your cursor from File to the Commands menu to view available options. |
o | New – There are many areas of the Xebra where you have the ability to create new jobs, files, etc. The New option found under Commands will always be relevant to the dialog that you are in (i.e. In Order Entry, using the New function will activate the creation of a new job and, in Customer Shipping, it will activate the creation of a new Customer Shipping Record). |
o | Find – As most areas of the Xebra have access to relevant records, it is important to have immediate access to these records and the ability to search through all of them. While the searching criteria may be different depending on the module that you are in, access to the mechanism remains the same. |
o | Change Key – For every list of records (or data tables) there is a variety of data fields within that list and some of these fields are keys. These keys are used when sorting and searching the records. Each data table has a primary default key with several optional keys to which you may change the focus (i.e. Order Entry’s primary key is the Job Number though you may change this to Customer Code, Customer PO or Invoice Number). |
o | Next – Once your key is set, you may page to the next available record one at a time. |
o | Previous – Used to recall the last record relevant to the key chosen. |
o | Delete – Strictly limited by security settings and system regulations, this option allows you to delete the record currently in view. NOTE: The system will never allow an operator to delete anything that is vital to operation or history. |
• | Actions - This menu houses the "action" functions of the system. Look to the Actions menu to prepare an invoice or a quote, schedule a mailing or receive an invoice or inventory. |
• | GO – Used to navigate between all major modules. Access to modules may be limited depending upon your operator security settings. |
• | Help – Provides various tools encompassing educational, technical and customer service support. |
o | Contents – Access to Xetex Xebra help topics. A quick personal reference when operating in the live system. |
o | Screen Overview – Immediate access to the help page most closely relevant to the current screen. Also available via F1 on your keyboard. |
o | Xetex Xebra 101 – Access to the main help page detailing all system modules. |
o | Submit Xebra Crash Report – In the event of a system crash, it is very important to immediately run this Crash Report upon re-entering the Xebra. This report will automatically be directed to the Xetex Technical Support Staff so they may investigate and correct the cause. |
o | Support/Enhancement Request – Provides the user with a form that may be completed detailing any support or enhancement request and then directed to the Xetex Customer Service Department. |
o | About Xebra – Contains basic information about Xetex Business Systems, Inc. and the version of XETEX Xebra you are currently running. |
