View Database Activity Validate System Change Code Zero GL Chart Delete CSI/GI Item
• | View Database Activity – Every time an operator makes a change to the Xetex Xebra database, the event is recorded in a log file. The Database Activity Viewer provides access to this log file and a variety of criteria to search and composite the records. The information in the log file is useful when questions arise concerning how data may have changed (i.e. Who did it? When? What was the old data before this event occurred?). |
o | Operator (optional) – Use to limit the query to a specific operator’s actions. |
o | Date From/To (required) – Focuses query to a set date range. |
o | Table – This field will default to (ANY) but can be changed to request a search of activity from a single data table. |
o | Field – If a specific data table has been chosen, this will default to (ANY) but can be changed to limit your search to a particular field within a stated table. |
o | Primary Key Value – If a specific data table has been chosen, you may manually enter a primary key value relevant to the stated table (i.e. for the data table “JOB” you may limit your query to a certain job number which is the primary key in the table). |
o | Type – Finally, you may limit your search of data base activity to a certain type of task. To examine the records of new data entered into fields use INSERT; for existing records that have been altered use UPDATE; and when searching for fields or records that have been completely deleted use DELETE. |
o | Once you have set your criteria, use the VIEW key to create the Database Activity Report. You will view the report through the Xebra Print Preview screen and be given the ability to print, fax or email the document, as well as convert it to Microsoft Excel or Adobe PDF. |
o | After closing Xebra Print Preview, you will return to the Database Activity Select Criteria screen and proceed with another search. If you’ve completed your query, use DONE to exit and return to the main SETUP screen. |
o | Under certain circumstances, it may be necessary to have your Xetex Xebra system validated. You may be required to do this if: |
▪ | You have chosen to host Xetex Xebra yourself. |
▪ | You change the company name in Company Information for any reason. |
▪ | You request to host Xetex Xebra yourself after initially using the XSS version, regardless of the length of time since installation. |
o | If validation is required you will first need to provide the validation document to a Xetex Business Systems, Inc. representative. Use the DOCUMENT key to create this document and fax or email it to your rep. |
o | Once we receive your validation document you will be issued a validation code which you may enter and click VALIDATE. |
• | NOTE: It is very important to respond to any validation required message immediately as allowing your system to expire may result in a loss of some or all of your existing live data. |
• | Change Code – While Xetex Xebra will allow you to make many changes throughout the system as needed, there are certain codes that are so sensitive and far reaching that a System Administrator status is required. These codes include Customer Shipping and Billing, Vendor Ordering and Remittance, Sales Rep, and Item. Changing any of these codes will affect ALL entries in Xetex Xebra including past, present and future. |
o | Code Type – Specify which code type you will be changing. |
o | Existing Code – Enter the code as it currently appears in the Xebra. |
o | Change To – Enter the new code as you wish it to appear. |
o | Click CHANGE to complete this procedure. Once the change has been made, you may continue changing more codes or click DONE to return to the main SETUP screen. |
• | NOTE: If you need to change the code for an existing Warehouse, you cannot use this method. Here are the steps you will need to take: |
GO > Order Entry > View > Warehouse
Create a new Warehouse using the new code.
When you are done, load the 'old' warehouse record that you want to replace.
Commands > Delete
Click on Yes to confirm deletion.
The Warehouse Delete dialog will display, asking you to enter the new Warehouse code to where you would like the inventory and history transferred. Click OK.
Answer Yes to delete related customer and vendor records.
• | Zero GL Chart – To prevent severe error, a secure validation code is required to zero out your general ledger chart of accounts. This code changes daily and can be obtained by contacting Xetex Business Systems Customer Service. CAUTION: Clearing the GL Chart is rarely suggested outside of the initial, pre-live setup of your system. Doing so in an established system can result in significant and irreversible loss of data. Always consult with your accountant before proceeding with this operation. |
• | Delete Customer Specific / General Inventory Item – Removing inventory item records is a sensitive and far-reaching operation and requires a System Administrator status. Once these records have been deleted, they CANNOT be retrieved. It is very important to fully understand the impact this may have on your system before proceeding. |
o | Specify the item code to be deleted and click OK to complete the process. Once finished you may continue to delete any further codes necessary or simply close to return to the main SETUP screen. |
