While certainly part of the system as a whole, Xebra Print Preview offers some unique and specific functionality differing from those found in other areas of the Xebra. To explore these features, let’s use some of the functionality you’ve just been introduced to.

Tutorial Start Bar

Use the Go menu to navigate to the Order Entry module if you are not already there. Once in Order Entry, enable the Find function in one of the ways detailed earlier (Commands > Find, the Find Icon or CTRL+F). Enter 1051 in the Job Number field and click Search. Double-click the only result found in the list box to load the job into Order Entry. While we will go into more detail regarding and using the Actions menu in later sections, for now, simply use Actions > Customer Acknowledgement to create a document for the purposes of this example.

You are now viewing the Xebra Print Preview dialog. When initially creating documents, this will be your final opportunity to review all details before proceeding. Your ability to edit documents at this stage will depend upon the original formatting of the document. In general, your SA will be the only person able to alter the main document and provide allowances for editing to occur in Print Preview.  The following will detail all menus and features unique to Xebra Print Preview as if all were available.

Menus
o File – After each of the following functions, the Xebra will return you to the Print Preview dialog so that you may perform multiple functions if necessary. Once you have completed your task involving the document, simply exit from the dialog to return to the Xebra system.
Save as PDF – Xebra has the ability to save a document directly as a PDF.  When activated, this will open a desktop browser allowing you to name the file and the desired folder in which to save it.

Save as Excel File (.xls) - Xebra has the ability to save a document directly as an Excel File. When activated, this will open a desktop browser allowing you to name the file and the desired folder in which to save it.  NOTE: A document should be formatted specifically for Excel conversion before using this feature otherwise the integrity of the document may not be preserved.

Print – Will open a Print Driver dialog allowing you to direct the document to the appropriate printer.

Fax - Will open a Print Driver dialog allowing you to direct the document to an available Fax machine.  NOTE: You must have network faxing already available on your workstation to use this feature.

Queue – The Printer Queue is a timesaving feature best used when creating many of the same document types for various jobs (i.e. creating invoices for a dozen jobs at once). While creating each document separately, use the Queue to combine them into a group to be printed together at a later time. When initiating the Queue, the Xebra will provide a default description of the document which you may choose to manually alter. Click OK and continue.

E-Mail – XETEX Xebra has been designed to work with your default email provider. Any documents you choose to send via email will be automatically converted to PDF form and attached to an email addressed to the appropriate party based on their contact record. It is this email function that utilizes the Email Settings we covered earlier in Setup.

o Edit – As with other areas of the system, Xebra Print Preview supports basic Windows functionality that you are most likely very familiar with.
Cut – Removing an object from one area with the intent of placing it elsewhere. Also use keystrokes (CTRL+X).
Copy – Copying an existing object to place it elsewhere on the document. Also use keystrokes (CTRL+C).
Paste – Placing an object that has either been cut or copied. Also use keystrokes (CTRL+V).
Delete – Deleting an object, removing it from the document permanently. You may also use the Delete key on your keyboard.
Select All – Select all objects on a page for the purpose of copying, cutting or deleting. Also use keystrokes (CTRL+A).
Design Mode – Before editing anything on a document you must first enable the Design Mode. This will activate many of the features in the Edit, Commands and Insert menus.

Add Page – Used to add a blank page to the existing document for additional information areas.
Delete Page - Allows the deletion of any existing pages within a document.
o Insert
Rectangle – Allows the placement of a basic rectangle for purposes of borders, tables, etc.

Line – Used to place single lines for page separation, signature lines, etc.

Text/Data Field – Provides a field to be used for both static and variable data. Represented in the configuration editor by a blue outline.

Image – Solely for images such as logos or product pictures.

After reviewing all the options in Xebra Print Preview, simply close the dialog and return to Order Entry before proceeding.
