Using XSource based items on Xebra Orders
• | Every XSource Based Product has a Style Code or Model Number, which is the Vendor’s unique identifier for all color-size combinations of a particular product. For example, the AlphaBroder Style Code for a Gildan 5.3 oz. T-Shirt is G500. |
• | The simplest way to get started using XSource based items on an order is by selecting the new “Add Lines(s) by searching XSource style groups” on the New Line Item Type Screen, that always appears when a new line item is created. |
• | When this option is selected the XSource Style Group Search window opens: |
o | Enter your search parameters and click on the “Search” button |
o | The Search results will appear in the bottom portion of the screen: |
• | Double click on the product you wish to add as a line item. |
• | The XSource Order grid will open: |
o | Select a color. A drop-down list will show the available colors for the selected Style Group. Only the colors available for that style will be shown. The style picture to the left will also reflect the selected color provided that picture is available |
o | When a color is selected, the available size options will appear. |
o | Enter the desired quantity and selling price for each size. Notice than once you tab away from the first price field after populating the price, all other lines will automatically pre-populate with the same price you selected for the first line. You can go back in to change some of the price fields if you want different prices on some sizes. |
o | The correct cost prices will be provided automatically by Xebra. The pricing is obtained directly from special sites maintained by the vendors. There may be a lag of a few hours between the time that special prices start or end on the vendors’ public websites and the time those changes appear in Xebra. iPROMOTEu cannot guarantee pricing. |
o | The description field can also be edited to suit your requirements. Any changes made on the Ordering Grid window will appear on all line items. The color and size will automatically be appended to all line items created. |
o | Once quantities and prices are entered, simply click the “Create Line Items” button. You will then be presented with the Line Item window |
• | The XSource Style Group Search window can also be used to do product research on the available XSource products. The search window includes several optional search fields as well as search parameters to help you find the product information you need. Because of some inconsistencies in the descriptions provided by the vendors, you may have to experiment when first using the Search window. |
How will XSource based Items appear on Documents?
▪ | A new column has been added to the Purchase Order Document that shows XSource Style Codes whenever an XSource based Item is ordered |
▪ | The first line of the description field has been lengthened and will include the color and size of the item ordered |
▪ | The Supplier SKU number will be shown in the Item Number column |
▪ | By default, for XSource based items, the Customer Item Number field on every line item will be set to the Style Code. The Customer Item Number will always print on Invoices instead of the Xebra Item Code. This will prevent the Xebra Item Code, which includes the Vendor Code, from appearing on Invoices. |
▪ | If you do not wish to display the Customer Item Code or the Xebra Item Code on your invoices, delete the Customer Item Number and check the box on the line item record labeled ‘print blanks’. |
